Plan before setting up your IVR / Auto-Attendant

Why planning your IVR matters

Before you begin setting up your IVR (Interactive Voice Response) or Auto-Attendant, take a moment to plan things out properly.

Jumping straight into the setup without a clear structure often leads to confusion, missed steps, and unnecessary rework.

Start with a flowchart

We strongly recommend creating a flowchart first. It helps you:

  • Visualise the call flow and available options

  • Understand how callers will move through your menu

  • Spot missing steps or duplicate paths early on

  • Align with management or colleagues before you begin

Think of it as a map, without it, it’s easy to get lost in a complex tree of call options.

Recommended tool

If you don’t already have a tool for making flowcharts, we suggest using:

➡️ Draw.io - Free, online, and very easy to use

You can create and update your IVR structure visually, and export it for future edits or sharing with others.

Need help later?

If you ever run into trouble during or after setup:

  • Send us your flowchart

  • We’ll use it to understand your structure and guide you quickly

  • This makes troubleshooting much faster and more effective

A few minutes of planning up front can save hours of fixing later.
If you're unsure where to start, let us know. We're here to help.
